ID Card Policy & Terms of Use
Purpose of the ID Card
The ID Card is issued to employees, interns, trainees, consultants, project associates, and authorized representatives for the following purposes:
Establishing official identity within and outside the organization
Ensuring workplace security and controlled access
Representing the Company during client visits, government assignments, and corporate events
Preventing unauthorized representation or impersonation
The ID Card serves as official proof of active association with RuAa THREADS PRIVATE LIMITED..
Ownership & Legal Status
The ID Card remains the sole and exclusive property of RuAa THREADS PRIVATE LIMITED at all times.
Issuance of the ID Card does not grant ownership rights to the holder.
The Company reserves the right to suspend, withdraw, or cancel the ID Card at its discretion without prior notice if deemed necessary.
Mandatory Carry & Professional Display
All authorized personnel must:
Carry the ID Card at all times while on Company premises.
Display the ID Card visibly during working hours.
Present the ID Card upon request by management, security personnel, clients, or authorized authorities.
Failure to comply with this requirement may lead to disciplinary or administrative action.
Professional Conduct & Representation
The ID Card symbolizes the Company’s brand and reputation. While carrying the ID Card, the holder is expected to:
Maintain professional conduct at all times.
Avoid any behavior that could harm the Company’s image or credibility.
Use the ID Card strictly for official and authorized business activities.
Any misconduct while representing the Company may result in strict action.
Non-Transferability & Strict Prohibition
The ID Card is strictly personal and non-transferable.
The following actions are strictly prohibited:
Lending or sharing the ID Card with another person
Allowing unauthorized individuals to use it
Duplicating, copying, or reproducing the ID Card
Editing, tampering, or altering any information printed on the ID Card
Violation of this clause may lead to immediate termination and legal proceedings under applicable laws.
Loss, Theft, or Damage
In case of loss, theft, or accidental damage:
The holder must immediately notify the Company in writing.
An official report must be submitted via email to: ruaaofficial5@gmail.com
A replacement ID Card may be issued subject to verification and approval.
A replacement fee may apply as per Company policy.
Delay in reporting may attract disciplinary action.
Misuse, Fraud & Legal Consequences
Any act involving:
Fraudulent representation
Impersonation
Forgery
Misuse for financial or personal gain
Unauthorized use after resignation or termination
shall be treated as a serious offense.
The Company reserves the right to initiate civil and/or criminal legal action under applicable laws.
Return & Deactivation of ID Card
The ID Card must be surrendered immediately in the following cases:
Resignation or termination of employment
Completion of internship or contract
Suspension or recall notice issued by management
Expiry of project-based engagement
Failure to return the ID Card may result in legal liability and recovery action.
Digital & QR-Based Verification (If Applicable)
If the ID Card contains a QR code, digital ID number, or verification system, it must not be altered or damaged. Any attempt to manipulate digital verification data will be considered a violation of Company policy.
